INSTRUCTIONS / POLICIES

We have created a set of policies to best meet the needs of both our vacationing guests and of our home owners. As a Guest of the home, we thank you ahead of time for taking good care of this home, as we take pride is providing you with a clean, comfortable and well maintained rental for you to enjoy.
If you have any questions or comments regarding this information, please don't hesitate to contact us.
CUSTOMER SATISFACTION. It is our goal to provide each of our guests with a wonderful stay here in the Sisters Area. We want you to feel completely satisfied with your rental property. If at any point during your stay, you need something, or feel we have not met your needs, please contact us immediately. We aim to be very flexible in meeting each of our guest’s needs. |

| CHECK-IN: 4:00 p.m. CHECK-OUT: 11:00 a.m. You will not need to check-in or check-out with anyone. |
Our minimum stays for all rentals:
Quilt Show Week, Please call for minimum nights stay required.
July & August, 3 night min.
Christmas & New Years, 4 night min.
Holidays (excluding Christmas and New Years) 3 night min.
Please call if you cannot stay for the minimum nights required and we will check to see if there is a property where we can accommodate you.

| OCCUPANCY LIMITS & USE OF PREMISES: The tenant certifies the limitations of this dwelling have been carefully read as set forth in this Rental Agreement. The Tenant agrees to the limitations of persons permitted to occupy the premises and agrees to abide by such limitations. Tenant agrees that if such limitations are exceeded the Property Manager shall have the right to cancel this agreement. In the event it becomes necessary to cancel this agreement as provided for in this clause, any money paid by the tenant will be forfeited by the tenant as liquidation damages. I UNDERSTAND THAT I MUST BE 25 YEARS OF AGE OR OLDER TO RENT THIS HOUSE. |
| SECURITY DEPOSIT: A Visa or MasterCard credit card is required to be on file for every renter and is considered your "security deposit". If there is a claim for damages, loss or excessive cleaning made, the tenant will be notified of such by First Class mail or by phone and copies of charges will be sent. Replacement value will be charged on any missing or damaged items. If there are damages, loss or excessive cleaning required you authorize Sisters Vacation Rentals to debit and process your credit card for the necessary charges. |
RESERVATION DEPOSIT: A valid credit card number must on file to secure a reservation The reservation deposit of 50% (this includes 50% rent, cleaning fee and taxes) will be charged at the time of booking. A credit card is required to be on file and will serve as a security deposit for any loss, damages or anything beyond normal cleaning that may be required.
All balances are due 30 days in advance of occupancy or immediately if the reservation is made within the time period. A county or city tax (whichever is applicable for a particular rental) and 1% state lodging tax is assessed on the daily rate.

CANCELLATION POLICY: The reservation deposit is refundable, less a $50.00 cancellation fee if canceled within the required time prior to your scheduled arrival. No refunds are given if canceled less than our required period before scheduled arrival, unless we re-rent the home for the dates confirmed to you. If the home is re-rented, your deposit, less the $50.00 cancellation fee, will be returned to you. No refunds will be given for early departure.
Cancellation requirement period:
- General - 30 days before scheduled arrival
- Holiday - 60 days before scheduled arrival
- Quilt Show - 90 days before scheduled arrival
It is important to understand our cancellation policy before making your reservation.
Sisters Vacation Rentals recognizes the need to protect our client’s trip investment. We recommend that all travelers purchase travel protection insurance thru CSA Travel Protection in the event of unforeseen circumstances. | CLEANING FEE: See individual rental for cleaning fee. Your cleaning fee is intended for a onetime cleaning associated with normal use upon your departure, expecting that you will clean up after yourself in the kitchen and all other parts of the home. Guest(s) shall leave premises in a generally clean, undamaged condition, as it was found upon arrival. We do expect that you will respect the property and clean up after yourself to a certain degree, but don't expect any thorough cleaning. The guest is responsible for the care of the premises, appliances and furnishings and for any damage by negligent or wrongful acts caused by the tenant, tenant's guests or pets. If furniture is moved, you will be expected to put it back as it was when you arrived. |
CLEANING RESPONSIBILITIES: Upon your departure, you will be expected to
> take the garbage to the outside receptacle,
> run the dishwasher and wash all dishes,
> wash and dry a load of towels.
Guest(s) shall leave premises in clean, undamaged condition. The tenant is responsible for the care of the
premises, appliances and furnishings and for any damage by negligent or wrongful acts caused by the tenant, tenant's guests or pets. |
| ACCIDENTS HAPPEN, if you have a spill please soak up with paper towels and call immediately and we will tell you how to take care of the spill. Most stains can be prevented if treated immediately and properly. If you have baby or small child that wets the bed please provide a waterproof pad to prevent stains on the bedding. If you have an accident in the beds please soak linens in cold water immediately. Please do not wash and dry towels or linens that have been stained-we will treat them. When you wash our sheets and towels DO NOT mix light and dark colors together. DO NOT use bleach or any detergent with bleach on any of the linens or towels. |
| DO NOT wash our comforters, duvets, pillow shams or other items of the same type. If you have any questions about the laundry please call the office. |
| CARPETS: Every effort is made to keep the carpet in good clean condition for all our guests. You will be responsible for any excessive soiling of the carpets and substantial stains created during your stay. Please remove your shoes if they are dirty and clean up after yourself to avoid additional carpet cleaning charges. |
PETS. We have a few dog friendly homes available, please see individual rental pages or call and we will help you find a dog friendly rental.
We have owners and guests who are highly allergic to animals and we thank you for helping us maintain our pet free homes. If you choose to bring an unauthorized pet into one of our homes, you will be asked to leave, forfeiting all monies paid and you agree to pay for cleaning the carpets and furniture to remove pet dander, or any other repairs caused by your pet (average cleaning cost to remove pet dander = $300 to $400).
We welcome approved dogs to our dog friendly homes and ask our doggie guests to please: 1) Stay with your humans at all times (please don’t leave your dog alone in the home). 2) Enjoy the home from the floor only (please stay off of beds and furniture) 3) Dry off and wipe your paws before entering the home. 4) Pick-up and dispose of all poop in trash cans when you leave. 5) Have a great time! |
| SMOKING. All of our units are non-smoking. You agree to pay $250 if you smoke inside the house, on the deck or leave cigarette butts outside, NO EXCEPTIONS. |
| GARBAGE: Most Condo units in Pine Meadow Village have a large commercial dumpster to take the garbage to so you don’t have to worry about pick-up days. Single family homes and some condos have individual dumpsters that need to be put on the alley curb on Wednesday evening. There are instructions in each unit. |
| LINENS: The home is supplied with linens, towels, cookware, utensils, glassware and dinnerware, garbage bags and basic spices. An initial supply of dish soap, dishwasher detergent, laundry detergent, toilet paper, paper towels and hand soap are provided, any additional amounts need to be provided by guest.. |
| REPORT REPAIRS: Agent and Owners make every effort to make sure all equipment and appliances are in working order prior to your arrival. In the event that something as be overlooked and there is a malfunction with something inside the rental it is your responsibility to let us know immediately so can make every effort to get the repair work done right away. If you do not report the problem we can't fix it. Guest(s) agrees that Sisters Vacation Rentals or it agents may enter the premises for the purpose of making necessary repairs or maintenance when deemed necessary by rental agent or owner. |
| LIABILITY AND DAMAGES: The tenant shall indemnify and hold Property Owner and Property Manager free and harmless from any and all liability, claims, loss, damage or expenses arising by reason of any injury, death or property damage sustained by any person including Tenant(s) or guest of the tenant, where such injury, death or property damage is caused by negligent or an intentional act of the tenant or any guest of the tenant. |
| SISTERS VACATION RENTALS is not and cannot be held responsible for lost or stolen items. A $15.00 service charge and C.O.D. costs are required if you would like us to pick-up and mail any items left in the unit you occupied. |
| KEYS: There will be a lock box at the house; I will send you the code before you arrive. Please return key to lockbox on departure. There will be a $30 charge if keys aren’t returned, or the lock box isn’t in place upon departure. |
| NOISE/NUISANCE: Please remember that you may have neighbors that are permanent residents, please be respectful of their privacy. The Agent has the right to terminate this agreement and to ask disruptive Guest(s) to vacate the premises without refunding rent or deposits. Quiet hours are from 9 p.m. to 10 a.m. |
| Fireworks are PROHIBITED in Crossroads, Tollgate, Camp Sherman & Sage Meadow; as fire danger is very high in the summer and fall seasons. |
| SUBLETTING: Subletting is not permitted. Tenants who sublet may be subject to fines and/or immediate termination of this rental agreement. |
| HOT TUBS: Some of our properties are equipped with private or community hot tubs. |
| These hot tubs are maintained by a professional company and checked weekly (several times a day in community tubs) and between each guest for cleanliness. If there is a problem with the hot tub during your stay please contact Sisters Vacation Rentals immediately so that we can contact the hot tub company to remedy the problem. Although rare, hot tubs do break down and the hot tub company will make every effort to get it back up and running. In the event the hot tub is unable to be used during your stay we are sorry, but we can not give any refunds if the hot tub isn't working during your stay. |
| Guest understands and agrees that Sisters Vacation Rentals and any employees or affiliates, the Homeowner, and the Contracted Hot Tub Company for this unit will not be held responsible for injury or bodily harm which may occur while using the hot tub. |
| Guests staying in the residential section of Pine Meadow Village have pool, spa, and clubhouse privileges, the hours are from 9 a.m. to 9 p.m. There is a gate access key at each property in Pine Meadow Village that is required for access. Please use the front entrance as all other gates are locked. |
| Use of hot tub is at guests own risk. By signing this contract you agree to be responsible for all members of your party that are guests to the home. Guests agree to notify Sisters Vacation Rentals of any problems or accidents immediately. |
| AIR CONDITIONING. Some of our homes do not have air conditioning, please see individual rental for details. The temperature in Sisters during the months of June through September can range between 70-100 degrees Fahrenheit during the day. However, at night we tend to see 20 - 40 degree drops in temperature. Here is the key to comfort (and it works very well). To increase the coolness of the home throughout the day you can leave the windows open at night and close them first thing in the morning while it is still cool outside and leave them closed until it starts to cool off in the evening. |
| BIKES: If the bikes in your rental are lost or stolen during your stay because of neglect, you agree to pay for replacement of a comparable bike. Sisters Vacation Rentals is not liable for the quality or safety of the bikes provided by the homeowners or accidents incurred while using them. The bikes vary in style and age, so if you are concerned about their quality, you may want to bring your own or rent when you get here. Helmets are usually not provided (Oregon Law requires children under 16 to wear a helmet). |
| TELEPHONE: In the units that have land line phones you can make free local calls to Sisters, Redmond and Bend. Long distance calls may be made by credit card or collect. Guest will be charged for any long distance charges and fees. |
| INTERNET ACCESS: Some home owners provide internet access as a courtesy for guests. Sisters Vacation Rentals cannot be responsible for interruption of this service or problems with computers. |
| There is free wireless internet available at Sisters Coffee Company on Hood Street in Sisters year round. |
| If there are any special services I can help you with, i.e., reservations for dining, golfing, horseback riding, rafting, prepared meals delivered (see website for suggestions) , or if you would like to have groceries, flowers or other supplies at the house when you arrive please ask, I would happy to assist you, there is a small charge. |
| IT IS YOUR RESPONSIBILITY TO CONTACT ME IF ANYTHING IN YOUR RENTAL NEEDS MY ATTENTION. This is to ensure your safety and that you have an enjoyable stay at the property. |
